Sponsor Licence Change Of Circumstances
Organisations that hold a sponsor licence must report certain changes to the Home Office. These duties apply for as long as the licence is in place and cover both organisational changes and changes affecting sponsored workers. Timely reporting is essential to maintaining compliance.
Organisational Changes
The Sponsor Guidance sets out the full list of organisational changes that must be reported. In general, sponsors must notify the Home Office of:
- A change of name.
- A change of address.
- A change to the key personnel named on the licence.
- A change in company size or charitable status.
These updates must be made through the Sponsorship Management System (SMS). Some changes update automatically, while others may take several weeks to process. The Home Office may request additional information before completing the update.
Certain changes — such as a full takeover or merger — may require a new sponsor licence application. Where structural changes are planned, organisations should seek advice early to understand whether the licence will be affected.
Changes To A Sponsored Worker’s Circumstances
Sponsors must also report significant changes to a sponsored worker’s employment or circumstances. Most worker-related reports must be submitted within 10 working days.
Examples include:
- An unauthorised absence of more than 10 consecutive working days.
- A sponsored worker leaving employment or no longer requiring sponsorship (e.g., after obtaining Indefinite Leave to Remain).
- A promotion, change in salary, or change to core duties.
While many reports result in no further action, certain notifications — such as unauthorised absence — may prompt UKVI to review the organisation’s HR systems or conduct a compliance check.
How To Make A Report
Reports must be submitted via the SMS by a Level 1 User. In larger organisations, delays often occur because the Level 1 User is not informed of changes that need to be reported. It is therefore essential that internal processes ensure relevant staff understand what must be reported and who is responsible for submitting updates.
Failure to report significant changes can lead to compliance action, including suspension or revocation of the sponsor licence.
